Confidential announcement – We are seeking a Sales Secretary, based in Mercier, Quebec. In the automotive industry, you will serve as the key interface between the sales team, clients, and partners, providing exemplary administrative and organizational support.
Job Mission
Contribute to the efficiency of the sales department by ensuring meticulous handling of documents, smooth management of schedules, and a high-quality customer experience. You will act as the administrative entry point, ensuring the accuracy of information and compliance with internal procedures.
Main Responsibilities
- Welcome clients and respond to phone and email inquiries with professionalism, courtesy, and discretion.
- Schedule and coordinate appointments, vehicle demonstrations, and test drives, synchronizing the salespeople's calendars and showroom availabilities.
- Prepare, verify, and transmit sales documents (quotes, contracts, technical sheets, supporting documents) and ensure their accuracy and compliance.
- Enter and update client data in the management system (CRM) and rigorously follow up on leads and ongoing files.
- Collaborate with the finance and service departments for processing files (financing, insurance, warranties) and obtain the required documents within deadlines.
- Track orders and deliveries, ensure traceability of documents, and follow up with clients when necessary.
- Produce sales reports and communications for the sales team, and prepare support materials for internal presentations.
- Perform general administrative tasks (mail, archiving, filing, managing office supplies) to support the team’s daily efficiency.
Candidate Profile
- Experience: Equivalent training or experience accepted; familiarity with the automotive environment is an asset.
- Education: High school diploma (or equivalent). Training in secretarial work, administration, or sales is a plus.
- Skills: Excellent organization, versatility, and attention to detail; customer service orientation and impeccable communication; proficiency in spoken and written French; functional English required.
- Tools: Mastery of office tools (Excel, Word, Outlook) and ability to quickly learn a management/CRM system; good time and priority management.
- Personal qualities: Team spirit, discretion, autonomy, proactivity, and sense of responsibility; ability to manage multiple situations and maintain the security and confidentiality of information.
