We are looking for a Claims Clerk responsible for preparing, recording, and submitting manufacturer warranty claims. The person in this role will handle all warranty files, follow up on payments, ensure compliance with manufacturer criteria, and collaborate with various departments to guarantee efficient and compliant claims management.
Main Tasks:
- Process warranty claims related to each franchise or manufacturer;
- Handle all entries concerning warranties to ensure proper documentation;
- Verify the criteria required by the manufacturer or distributor;
- Reconcile all amounts to be received regarding warranties and payments according to the appropriate schedule;
- Record credits in the appropriate software;
- Resubmit any rejected claims as soon as possible or obtain authorization to write them off;
- Follow up on the payment of any pending claims;
- Track warranty parts by labeling them with the repair order number, replacement date, and disposal date;
- Organize the shipment of parts to the factory, distributor, or scrap;
- File and retain all after-sales documents according to the director’s requirements;
- Stay informed about all recalls and manufacturer bulletins;
- Collaborate with the body shop regarding any warranty-related claims, if necessary;
- Perform cashier or receptionist tasks, if needed;
- Complete any office duties as directed by their immediate supervisor.
