We are looking for a Claims Clerk responsible for preparing, recording, and submitting the manufacturer's warranty claims. The person holding this position will handle all warranty files, follow up on payments, ensure compliance with the manufacturers' criteria, and collaborate with various departments to guarantee efficient and compliant claims management.
Main responsibilities:
- Process warranty claims for each franchise or manufacturer;
- Handle all entries related to warranties to ensure proper documentation;
- Verify the criteria required by the manufacturer or distributor;
- Reconcile all amounts to be received regarding warranties and payments according to the appropriate schedule;
- Record credits in the appropriate software;
- Re-submit any rejected claims as soon as possible or obtain approval to cancel them;
- Follow up on the payment of any pending claims;
- Track warranty parts by labeling them with the repair order number, replacement date, and the date they can be disposed of;
- Organize the shipment of parts to the factory, distributor, or scrap;
- File and retain all after-sales records according to the manager’s requirements;
- Stay informed about all recalls and notices from the manufacturer;
- Collaborate with the body shop regarding any warranty-related claims, if necessary;
- Perform cashier or receptionist duties, as needed;
- Complete any administrative tasks according to immediate supervisor’s instructions.
Qualifications
- Experience as a claims clerk or in a related field.
- Solid knowledge of the brand and its characteristics.
